Part of Choosing a reputation supplier after opening the manual evidence first
Selecting review-response software while keeping a manual fallback
Select software for one England review-response job by proving the problem, screening exact service evidence and retaining a manual fallback.
What to take away
- Pre-purchase screening, not a product comparison, so expect no shortlist, prices or rankings.
- Find the broken step in your own manual route before you approach a supplier.
- Your own spreadsheet stays a candidate and faces the same fields as a supplier.
- Dated first-party records beat group pages, awards and screenshots.
- If a non-compensating gate is unresolved, keep the manual route and stop.
Name the broken step before you shop
Harbour Lane Furniture Repairs Ltd handles one public review about an England repair. Its manual route already captures the URL, saves the text, checks job records, drafts a reply, records approval and retains corrections. Software cannot repair a step that already works.
The evidence screen that no tool has yet passed was completed at a desk on 6 September 2026 and explains why a screening method replaces a buying guide. It holds no product test or price.
Example: the approval gap at Harbour Lane
Harbour Lane saves each review URL and its text. Whether the review sits on a Google Business Profile listing or on Trustpilot, the failure appears at approval. Draft replies are signed off inside one manager's personal inbox, so nobody can show which version was authorised.
Software earns a place only if it closes that failure. A tool that only drafts text does not.
Write one selection question
Turn the broken step into one disprovable sentence. Leave volume, speed and cost blank until the evidence arrives.
Can a candidate preserve the original item, keep allegations distinct from verified facts, restrict publication to an authorised user, carry a correction through the record and export the case?
Exclude adjacent jobs. Review invitations, social listening, media relations, crisis advice and complaint resolution are separate tasks, so a tool built for one does not qualify.
Your own spreadsheet stays a candidate, scored on access, version, accessibility, backup, correction and handover.
Inspect the exact service dossier
Request the contracting legal entity, trading name, exact edition, UK availability and current terms. Add the support boundary, change policy and export route.
| Dossier item | What counts as admissible |
|---|---|
| Identity | Contracting legal entity, trading name and exact edition |
| Capability | A dated first-party record for each material function |
| Price | Currency, VAT presentation, charge unit, term and renewal basis |
| Support and exit | Named support boundary, change policy and a full export route |
Companies House publishes register fields, yet its disclaimer states that submitted company information is not verified or validated. Use it for identity facts only.
Judge each capability on a dated first-party record. Price stays unknown unless currency, VAT presentation, charge unit, volume, period, term and renewal basis match the service on offer. Before signing, what to check in a reputation contract covers clauses a dossier cannot settle.
Reject unsafe operating proposals early
Map every collected field and every planned action. If the route invites or republishes consumer reviews, the CMA's August 2025 business and agency guidance warns against fake reviews and inducements. Reject hidden incentives and impersonation.
Do not merge monitoring with marketing contact. The ICO's direct marketing guidance, updated on 28 April 2026, requires organisations to identify direct marketing and respect preferences. A public username does not grant permission to send a promotion.
Consent to reply is not consent to market. Keep the two purposes in separate records.
Keep employee allegations, defamation questions and accessibility duties with their qualified reviewers. The Defamation Act 2013 and the Equality Act 2010 sit outside software settings.
If drafting is the broken step, where AI fits in review drafting covers what can be assisted while the evidence is kept.
Prepare the evidence gate
Before a trial, require:
- a factual data-role map and the relevant contract schedule;
- privileged-access, logging, incident and recovery evidence;
- task-level accessibility evidence for capture, approval, correction and export;
- a supplier-change and support record;
- a complete export, restore and deletion plan.
The ICO's controller and processor contract page identifies instructions, confidentiality, security, subprocessors, rights assistance, audit and end-of-contract matters. It is marked under review following the Data (Use and Access) Act.
A fictional-data test means running one invented review, with invented customer details, through the candidate's capture, approval, correction and export route, then comparing the log with the manual record.
Selection means permission to investigate further, not approval to buy or deploy. A gate with no compensating control ends the screening.
Screening checklist before any trial
- The broken step is named in writing.
- Adjacent jobs such as review invitations are excluded.
- The contracting legal entity and exact edition are confirmed.
- Every material capability has a dated first-party record.
- Export, restore and deletion are demonstrated on test data.
Common questions
What should a buyer do first?
Write the manual route out step by step and find where it fails. Harbour Lane already captures the URL, saves the text, checks job records, drafts a reply, records approval and retains corrections, so only the failing step justifies software.
What evidence must a supplier produce?
Insist on dated first-party records covering each capability you need. Group pages, awards and screenshots do not qualify, and a quoted price is meaningless until its currency, VAT treatment, charge unit, term and renewal basis are confirmed.
When does the screening end without a purchase?
The screening ends when a gate with no compensating control stays unresolved. Selection then means permission to investigate further, not approval to buy or deploy.
